Whistleblower Policy

This policy establishes a framework for employees, brokers, and other stakeholders to report suspected wrongdoing, illegal acts, or failures to comply with regulations or policies without fear of retaliation. AROMIS International FZCO is committed to maintaining the highest standards of ethics, integrity, and legal compliance.

This policy applies to:
  • All employees of AROMIS International FZCO
  • Brokers and representatives working on behalf of the company
  • Contractors, consultants, suppliers, and other business partners
  • Any other stakeholders interacting with AROMIS International FZCO
Reportable concerns include, but are not limited to:
  • Corruption, bribery, or fraud
  • Financial irregularities or misreporting
  • Violations of company policies or the code of conduct
  • Legal or regulatory non-compliance
  • Health, safety, or environmental hazards
  • Discrimination or harassment
  • Conflicts of interest
  • Retaliation against whistleblowers
Individuals may report concerns through any of the following channels:
  • Direct report to the General Manager (for employees)

  • Written report to: Ethics Department, AROMIS International FZCO, Dubai Airport Free Zone, Al Quds St, Building 4E, Block A, Suite 323, Dubai, United Arab Emirates
CONFIDENTIALITY AND ANONYMITY:
  • All reports will be treated with strict confidentiality
  • Anonymous reporting is permitted and protected
  • The identity of the whistleblower will not be disclosed without consent unless required by law
  • All information will be handled securely with restricted access
NON-RETALIATION:
  • AROMIS strictly prohibits retaliation against anyone who reports concerns in good faith
  • Retaliation includes contract termination, payment withholding, harassment, discrimination, or any other adverse action.
  • Individuals who engage in retaliation will face appropriate disciplinary measures.
  • Whistleblowers who believe they have experienced retaliation should report it immediately.
INVESTIGATION PROCESS:

All reports will be acknowledged within 48 hours.

  • The General Manager or designated Ethics Officer will conduct an initial assessment
  • A formal investigation will be launched if warranted
  • Investigations will be conducted promptly, thoroughly, and impartially
  • The whistleblower may be contacted for additional information
  • Appropriate corrective actions will be taken based on findings

FALSE ALLEGATIONS:

Deliberately making false allegations is a serious offence and may result in disciplinary action or termination of business relationships. However, if a concern is raised in good faith but not confirmed by investigation, no action will be taken against the reporting individual.

REPORTING TO MANAGEMENT:

The General Manager will ensure that whistleblower cases are appropriately documented and addressed while maintaining confidentiality.

POLICY REVIEW:

This policy will be reviewed periodically by the General Manager to ensure its effectiveness and compliance with applicable laws and regulations.
